What AI is actually good for in a small business (and what it isn't)
AI tools can save a small business real hours every week, but only in the right jobs. Here's where AI genuinely helps, and where it's still a waste of money.
Every week I get asked some version of "should we be using AI?" by a business owner. It's a fair question, because the noise around AI is relentless. Every newsletter claims it'll transform your business overnight. The honest answer is more useful than the hype: AI is brilliant at some jobs and useless at others, and the difference is easy to spot once you know what to look for.
Where AI genuinely saves you time
The sweet spot is repetitive work that a smart person would do the same way every time. Think drafting, sorting, summarising and answering. A few examples I set up for clients:
- A business that gets the same five questions by email every day. AI drafts the replies, a human checks and sends. That's a job that used to take an hour and now takes ten minutes.
- An enquiry inbox that sorts itself. New messages get labelled, prioritised and logged before anyone looks at them.
- Long documents, contracts or spreadsheets that need a plain-English summary for a decision. AI reads the whole thing in seconds and tells you what changed or what matters.
Notice the pattern: the AI is doing the drafting, the sorting, the first pass. A human is still in charge of the judgement. That split is the difference between AI that pays for itself and AI that's a toy.
Where it's still not worth it
Anything where being wrong costs you money, or where the output has to be perfect. Customer-facing text you can't proofread, legal or financial decisions, anything involving personal data you don't fully understand. AI gets things wrong confidently, and when it does, you're the one who signed it off.
Also worth saying: an AI tool you have to wrangle for an hour to get a usable result is not saving you time. The tool should fit the job, not the other way round.
What I'd do first
If you're starting from zero, pick one repetitive job that annoys you most and automate just that. Measure the time before and after. Once that one's working, the next one gets easier. That's how I work with clients: one real workflow at a time, built around how the business actually runs, not around what's trending.
